What is a QBO file? QuickBooks Web Connect files explained
Quick answer
A .qbo file is a QuickBooks Web Connect file: a bank or credit card transaction download in Intuit's version of the OFX format. Banks offer it as "Download to QuickBooks" or "Web Connect". QuickBooks Online imports it through Upload from file, and QuickBooks Desktop through File > Utilities > Import > Web Connect Files. Note that "QBO" is also the everyday abbreviation for QuickBooks Online - a QBO file works with both QuickBooks Online and Desktop.
QBO file vs QBO (QuickBooks Online)
The same three letters mean two different things. QBO, the file extension, is a Web Connect transaction file. QBO, the abbreviation, is QuickBooks Online, Intuit's cloud accounting product. If a guide says "import your bank statement into QBO", it usually means QuickBooks Online - which can take a .qbo file, a QFX file, a CSV, or now a PDF statement.
What's inside a QBO file
It's plain text, so you can open it in any text editor to check what's in it.
- An OFX header saying which version of the format the file uses.
- A sign-on block, usually with an INTU.BID tag that identifies the bank to QuickBooks.
- An account block: bank ID, account ID, and account type (checking, savings, credit card).
- The transaction list: for each transaction, a unique ID (FITID), date, signed amount, and payee or memo.
- The ledger balance at the end of the period.
How to import a QBO file
Intuit's help page lists a 350 KB size limit for QuickBooks Online uploads, so split very long histories into several files. After import, transactions appear in the review list, where you match or add them.
| QuickBooks version | Where to import |
|---|---|
| QuickBooks Online | Bank transactions > Link account dropdown > Upload from file, then pick the account |
| QuickBooks Desktop | File > Utilities > Import > Web Connect Files, then choose or create the account |
QBO vs QFX vs OFX vs CSV
| Format | Opens in | Best for |
|---|---|---|
| QBO | QuickBooks Online and Desktop | Fastest QuickBooks import - no column mapping |
| QFX | Quicken (QuickBooks Online also accepts it) | Quicken users |
| OFX | Many finance tools | Generic import where QBO/QFX isn't offered |
| CSV | Spreadsheets, QuickBooks Online, Xero | Editing rows before import |
How to get a QBO file when your bank only gives PDFs
Many banks stop offering Web Connect for older periods or closed accounts, and some only provide PDF statements. StatementTidy converts a digital PDF statement into a QBO file in your browser. Each conversion is reconciled against the statement's opening and closing balances, and nothing is uploaded.
QuickBooks Online can also read a PDF statement directly using its own AI extraction. Converting to QBO yourself is useful for QuickBooks Desktop, for checking the numbers before they reach your books, or for keeping the statement off third-party servers.
Not to be confused with QBX, QBW, or QBB
- .QBW - a QuickBooks Desktop company file (your actual books).
- .QBB - a QuickBooks Desktop backup.
- .QBX - an Accountant's Copy export file, sent from a client to their accountant.
- .QBO - a Web Connect bank transaction file (this page).
Turn a PDF statement into a QBO file
Converted in your browser - your statement never leaves your device.
